The type of personal information we collect 

We currently collect and process the following information:

• Customers -  name, email address(es), job title, postal address, telephone number(s), purchasing history.

• Employee - name, postal address, date of birth, National insurance number, banking information, telephone number(s), e-mail address(es), Trade Union membership (if applicable), sex.

• Suppliers -  name, email address(es), job title, postal address, telephone number(s).

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• You have commissioned us to deliver a project on your behalf

• You have enquired about commissioning us to deliver a project on your behalf

• You have supplied services to our business

• We have enquired about you supplying services to our business

• You have corresponded with our business

• You have worked as an employee of our business or enquired about employment

We also receive personal information directly or indirectly, from the following sources in the following scenarios:

• Publicly available information held on websites and social media platforms

• Inbound enquiries to organisations (such as exploratory phone calls)

We use the information that you have given us in order to:

• Provide and improve our services

• Contact you during project delivery

• Send you promotional materials from us

• Fulfil your requests for products, services, and information;

• Prevent potentially prohibited or illegal activities

• For any other purposes disclosed to you at the time we collect your information or pursuant to your consent.

• Authorised providers of third-party goods and services who have contracts with us such as new business lead generation, email deployment, data processors for data storage

How we store your personal information 

Your information is securely stored. 

We take the security of your data seriously. All personal data you provide to us will be stored securely, both physically and electronically. We have an information security process in place to oversee the effective and secure processing of your information. Where we use third party processors, we ensure appropriate contracts, security and duty of confidentiality are in place and technical and organisational measures to ensure the security of data have been assessed as appropriate. Personal data is predominantly held in data centres within the UK or the wider European Economic Area for the purposes of hosting, maintenance and back up. 

We (or processors acting on our behalf) may also store or process your personal data in countries outside the European Economic Area but only where we are assured of the security of the data and the adequacy of the data protection regimes of those countries and organisations holding the data. Kaleidoscope will retain your personal data for as long as is necessary for the purpose it was collected.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
